Instructions for Vendors

To be a vendor at Bethany`s Christmas Bazaar, your application must be submitted no later than November 24, 2017, and contain the following:

  • Table rental fees (payable to Bethany Baptist Church)
    • Mail or drop-off cheques to Bethany Baptist Church (Attention: Cia Savage)
  • Photos/Description of craft/items being sold
  • Proof of Liability Insurance (minimum of 2 million)*

A Selection Committee will review all applications to make sure requirements are met.  Vendors will be chosen based on photographic representation/items being sold.  Those vendors chosen will be contacted by phone/email no later than November 20, 2017.

* Liability Insurance can be cheaply obtained through your insurance provider (rider on your existing policy) or you can call Mantha Insurance at (613)-746-1450. They are offering a special rate of $99.60 (tax inc).

Rules of Participation for Vendors

  • Once accepted in the Christmas Bazaar, no refunds will be made.  However, you will receive a full refund if not accepted in the show or if Bethany cancels the show due to unforeseen circumstances.
  • Set-up will be available on Friday evening.  You may also setup Saturday between 7 and 8:45 a.m.
  • Table displays and product cannot extend beyond your designated area. Vendors are responsible for set-up and tear-down of their products and should respect adjacent table vendors.
  • One table and 2 chairs will be provided for each space rental.
  • The Christmas Bazaar is open to the public Saturday, December 2, 2017 from 9:00 a.m. to 3:00 p.m. Vendors are required to exhibit until Saturday closing times. Tear down will not begin until 3:00 p.m. Vendors must be present during the entire show to display and/or sell their items.
  • Open Flames are not allowed under any circumstance.
  • Bethany Baptist Church and its representatives shall not be responsible for: injury, loss or damage to goods and property, or legal action sustained by the vendor and/or their representatives while on the premises.
  • Vendors shall cooperate fully with event staff at all times. Failure to do so, or misconduct, may result in dismissal from the event.
  • No smoking on Church grounds. We are a smoke-free facility.
  • We are also a scent free facility and ask participants to refrain from wearing heavily scented products if possible, as we do understand that scents will be used by some vendors due to the nature of the items being sold.
